Who is responsible

Information we collect
When you register interest in the Business Systems Health Check beta, we collect the information you choose to provide:
- your name and studio name;
- your email address and country; and
- any message you include.
The website and its service providers may also process basic technical information needed to deliver and protect the site, such as an IP address, browser type, device information and request logs.
How we use it
We use your details to respond to your enquiry, understand interest in the Health Check, select and manage suitable beta participants, and keep an appropriate record of our communications.
We do not sell personal information or add beta enquiries to unrelated marketing lists. We do not use this information for automated decision-making or profiling.
Our reason for using it
For people in the UK or European Economic Area, our lawful basis is our legitimate interest in responding to requested contact and preparing a controlled beta of the Health Check. Where discussions move towards providing a service, we may also use information to take steps at your request before entering into a contract.
You are not required to provide your details, but we cannot respond to or manage a beta enquiry without the information marked as required on the form.
Who receives it
Beta-interest submissions are sent to Airtable, which Loxwood Systems uses to organise and manage enquiries. Website hosting, security, email and other technology providers may also process limited information where necessary to provide their services.
We may disclose information where required by law, to protect legal rights, or in connection with professional advice. We do not permit service providers to use your information for their own unrelated purposes.
International processing
Loxwood Systems operates from the United States and may receive enquiries from the UK and other countries. Airtable and other service providers may process information in the United States or elsewhere. Where data-protection law requires safeguards for an international transfer, we will rely on the provider's recognised transfer mechanism or another lawful safeguard.
How long we keep it
We normally keep beta-interest and general-enquiry information for up to 24 months after our last meaningful contact. We may retain information for longer where it becomes part of a customer or contractual record, where the law requires it, or where it is needed to establish or defend legal rights. Information that is no longer needed is deleted or anonymised.
Cookies and similar technology
Loxwood Systems does not currently use advertising or analytics cookies on this website. The site uses externally hosted fonts, and the providers involved in delivering the site may receive technical request information as part of providing their services.
Your choices and rights
Depending on where you live and the law that applies, you may have rights to ask for access to, correction of, deletion of, or a copy of your personal information; to restrict or object to certain uses; and to appeal or complain about how it is handled.
You may object at any time to use of your information for direct marketing. Loxwood Systems does not currently use beta-interest details for unrelated direct marketing.
To make a request, email privacy@loxwoodsystems.com. We may need to verify your identity. UK residents may also complain to the Information Commissioner's Office.
Security and changes
We use reasonable administrative and technical measures intended to protect personal information. No internet service is completely secure, so please avoid including sensitive personal information in the message field.
We may update this notice as the beta and the services used by Loxwood Systems develop. The date above will show when it was last revised.
